The Short Answer

What Does an Event Planner Actually Do?

An event planner turns your objective into a complete, costed event plan — concept, theme, budget, venue, vendors, programme and timeline — then stays accountable through setup, show day and teardown. You approve the plan; the planner does the hundred phone calls underneath it.

For most companies, the honest alternative to hiring an event planner is asking your marketing or HR team to plan a 300-person event on top of their day jobs. It works — until the venue deposit is missed, the AV quote doubles, and the emcee cancels the week before. A professional planner exists so none of that becomes your problem.

Because we are also an event management company with in-house production, the plan we write is the plan that gets built — no telephone game between a planner and a separate production vendor.

What We Plan

Corporate Events We Plan in Singapore

Every event type below follows the same discipline — brief, concept, budget, plan, deliver — but the details differ wildly. Pick yours to see how we approach it:

01

Conferences & Seminars

Stage design, speaker management, registration flow, breakout rooms and AV that never feeds back mid-keynote.

How It Works

Our Event Planning Process

Hiring an event planner in Singapore should feel like handing over a weight, not adding a project manager to chase. Our process is built so you always know what’s happening — without having to ask:

01

Brief & Discovery

Objectives, audience, budget range, must-haves and dealbreakers — captured in one working session.

02

Concept & Quote

Theme, programme draft, venue shortlist and a transparent line-item budget. No vague “packages”.

03

Planning & Vendors

Weekly check-ins, confirmed bookings, rehearsal schedules and contingency plans for everything that can go wrong.

04

Show Day & Debrief

A senior planner on site from load-in to load-out — then a post-event report on what worked.

Choosing a Planner

How to Choose an Event Planner in Singapore

Whether you hire us or not, these are the five questions that separate real planners from pretty websites. We answer all five the same way every time:

  • 1

Do they plan AND produce in-house?

A planner who outsources production marks it up and loses control of it. Our production crew, AV and staging are in-house — the plan and the build come from one team.

  • 2

Will you get a line-item budget?

If a quote is one big number, someone is hiding margin. Every Haute proposal itemises venue, production, entertainment, staffing and logistics separately.

  • 3

Who is actually on site on show day?

Some agencies sell with seniors and staff with juniors. The planner who writes your running order is the one show-calling your event.

  • 4

Can they show events like yours?

Ask for photos and references from events of your size and type. A decade of corporate events means we’ve likely run your format before.

  • 5

What happens when things go wrong?

Rain plans, backup equipment, spare microphones, vendor no-shows — contingency planning is the actual product you’re buying.

How much does an event planner cost in Singapore? Planning fees typically range from S$1,000 for simple events to S$20,000+ for large-scale productions, depending on guest count, venues, production requirements and services bundled. As a rough guide, planning and management usually runs 10–20% of your total event budget — and a good planner saves more than their fee through vendor rates and avoided mistakes.

FAQ

Event Planner Questions, Answered

How far in advance should I book an event planner?
For conferences and large-scale events, 3–6 months gives you the best venue and vendor choices. Dinner & dance events need around 3–4 months. Smaller events can be planned in 4–8 weeks — and we’ve delivered on shorter timelines when needed. Peak season (November–January) books out early, so year-end events should be locked in by mid-year.
What’s the difference between an event planner and an event management company?
In practice, very little — a planner designs the event (concept, budget, programme, vendors) while management covers the execution (production, logistics, on-site running). Most clients need both, which is why we do both. You can also compare us as an event management company in Singapore — same team, same accountability.
Can you work with our in-house team?
Yes — this is common. Some clients hand us everything; others keep guest communications or internal approvals in-house while we run concept, vendors and show day. We define the split clearly in the proposal so nothing falls between chairs.
Do you plan virtual and hybrid events?
Yes — webinars, hybrid conferences and virtual team building, with broadcast-quality production, platform management and digital engagement built into the plan. Hybrid events are planned as two experiences (room and stream) that meet in the middle.
Which venues in Singapore do you work with?
We plan events across hotel ballrooms, function halls, restaurants, outdoor spaces and unconventional venues island-wide. If you have no venue yet, our venue shortlisting is part of the planning service — we negotiate rates and flag hidden costs (service charge, AV restrictions, corkage) before you sign anything.
How do we get started?
Call +65 8756 8165 or send your brief through the contact page. We’ll respond within one working day, set up a discovery call, and come back with a concept and line-item quote. No obligation until you approve the plan.
